INTERNSHIP ADMINISTRATION – email correspondence and internship reports (Dean's Office, room 104) – Ms. Agnieszka Dormanowska
At the beginning of each academic year, the Head of Student Professional Internships, in cooperation with Internship Supervisors and the Dean's Office staff responsible for their administration, organises an INFORMATION MEETING. Its purpose is to present to students the duties related to the completion of professional internships and to explain the rules for their settlement.
The Dean's Office accepts notifications of completion of compulsory professional internships only from students in the fifth semester of first-cycle studies (third year of studies – Financial Analyst) and only from students in the third semester of second-cycle studies (second year of studies – Finance and Accounting, Digital Transformation, Management).
In order to settle their professional internship, students are asked to familiarise themselves with the documents posted on this website, in particular with THE REGULATIONS FOR PROFESSIONAL STUDENT INTERNSHIPS AT THE FACULTY OF MANAGEMENT (in Polish: REGULAMIN ZAWODOWYCH PRAKTYK STUDENCKICH NA WYDZIALE ZARZĄDZANIA UG)
Each field of study has a separate, profiled scope, which should correspond to the nature of the internship – this is the so-called INTERNSHIP PROGRAMME. The reported professional internship must be consistent with the internship programme assigned to the given field of study.
INTERNSHIP PROGRAMMES FOR THE FIELD OF STUDY:
- Financial Analyst (Undergraduate Studies)
- Digital Transformation (Master Studies)
- Management (Master Studies)
- Finance & Accounting (Master Studies)
Previous or current professional work, regardless of the form of employment (e.g. employment contract, contract of mandate, contract for specific work, replacement contract, economic activity, voluntary work, etc.), provided that it was performed during the studies at the Faculty of Management of the University of Gdańsk and met the requirements specified in the internship programme.
Internships may be carried out in particular in service sector entities, manufacturing companies, public institutions, non-governmental organisations, scientific and research units, educational and cultural institutions, consulting companies and other entities conducting activities related to management. The dates of the internship cannot conflict with other classes in the study plan.
PROCESS OF COMPLETING A PROFESSIONAL INTERNSHIP AT THE FACULTY OF MANAGEMENT, UNIVERSITY OF GDAŃSK
STEP 1: SUBMITTING A DECLARATION OF COMMENCEMENT OF THE INTERNSHIP
Each student is required to submit STUDENT DECLARATION OF PARTICIPATION IN THE INTERNSHIP (in Polish: deklarację o rozpoczęciu praktyki) to the Student's Office for Student Internships no later than 30 days before the planned start date of the internship.
The declaration must also be completed by students who plan to count their current or upcoming professional activity as an internship (i.e. the selected period of professional work, in the number of hours required by the programme, will be reported as a compulsory internship for the purposes of obtaining a credit).
STEP 2: FORMALITIES BEFORE THE START OF THE INTERNSHIP
Before starting the internship, it is recommended to:
- reporting the need for accident insurance,
- signing a fixed-term/indefinite agreement on professional internships (if required by the host institution),
- collecting the internship referral.
These formalities are not mandatory (accident insurance, fixed-term/indefinite agreement, referral for the internship), but may be required by some host institutions. They do not affect the completion of the internship.
Internships are accounted for using the appropriate form: 1) a report on the completion of the internship or, if you wish to demonstrate your professional activity (without a referral and agreement) at your current level of study, in which you declare the period for which the internship is to be accounted for, the following document will be appropriate: 2) a statement of no agreement.
STEP 3: SELECTION OF THE INTERNSHIP SETTLEMENT MODE
Option 1. The institution requires a referral for an internship/signing an agreement with the university
By the 10th day of the month preceding the start of the internship, the following must be submitted:
- Insurance application (in Polish: Zgłoszenie do ubezpieczenia) – 2 copies
- Agreement for a fixed/indefinite period* regarding professional internships (in Polish: Porozumienie na czas określony/nieokreślony w sprawie prowadzenia praktyk zawodowych ) - 2 copies
- Internship Referral (in Polish: Skierowanie na praktykę) – 2 copies
Signed documents should be submitted to the Student’s Office, room 104 – Ms Agnieszka Dormanowska (in person or by email). You can also send 1 copy of each document electronically.
NOTE: The agreement in the above form, as well as insurance for the planned internship, must be concluded by both full-time students, if required by the organisation offering the internship.
After completing the internship, you must submit an appropriate report on the completion of the internship (1 copy) depending on the field of study:
- Report on the completion of the internship for the field of Financial Analyst (Undergraduate Studies)
- Report on the completion of the internship for the field of Management (Master Studies
- report on the completion of the internship for the field of Digital Transformation (Master Studies)
- report on the completion of the internship for the field of study: Finance and Accounting (Master Studies)
OR:
Option 2. The institution does not require the signing of an Agreement/Contract
Applies to students who:
- are employed on the basis of a contract (employment contract, contract of mandate, contract for specific work, etc.),
- are self-employed,
- are participating in internships organised independently,
- are working as volunteers.
Signed documents should be submitted to the Student’s Office, room 104 – Ms Agnieszka Dormanowska (in person or by email). You can also send one copy of each document electronically.
After completing the internship, you must submit:
- A Statement of Non-Agreement and an Internship description (in Polish: Oświadczenie o braku porozumienia i karta opisu praktyki), attached to this statement
- A document confirming employment/internship, e.g.: an employment contract, a contract of mandate/contract for specific work, an internship or volunteer agreement, an extract from the business register, references from the place of internship.
STEP 4: DEADLINE FOR SETTLEMENT OF THE INTERNSHIP
- Documents should be prepared in a single PDF file (you can upload all files, e.g. scans to a Word file, and then save them in doc* to pdf format, or use online tools such as ‘pdf join’ to merge the documents into a single file).
- The above file should be accompanied by an Internship Evaluation Questionnaire (in Polish: ankietę ewaluacyjną praktyk), which is completed by the student after the internship.
- Internships must be settled, i.e. the required documents must be uploaded to the electronic system https://wzr.ug.edu.pl/studenci/praktyki/rozliczenie-praktyk in semester V (Bachelor Studies) or III semester (Master Studies) by 31 December each year.
STEP 5: CREDIT AND ENTRY INTO THE SYSTEM
- After the documents have been accepted and a positive opinion has been issued by the Head of Student Internships at the Faculty of Management, the internship is entered into the eUczelnia system.
The grade is recorded during the third semester (Bachelor studies) and fifth semester (Master studies) exam session.
- The deadline for completing the internship is the same as the deadline for completing other courses in the given semester.
In order to ensure the quality of the internship and its compliance with the study programme and learning outcomes, internship supervisors select student internship places for observation. Observation may take the form of a physical visit, an online meeting or a telephone conversation with the intern's supervisor at the institution hosting the internship. During the observation, the following are assessed, among other things: the compatibility of the tasks with the field of study, the student's commitment, the organisational conditions of the internship and the manner in which the student is supervised. The results of the observation are documented in an observation form and archived in the university's database.
